The letter from your employer is the weakest document in your file.

Of all the pages in a visa application, this is the one that most often fails, and it fails for a simple reason. The person writing it thinks they are being asked to vouch for you. They are not. They are being asked to establish that there is a job you have to come back to.

Both of those are honest letters from a real employer. Only one of them tells an officer anything they can use.

The sentence almost every letter is missing

It is this one: that your leave has been approved from a specific date to a specific date, and that you are expected to resume your duties on the day after it ends.

That single sentence does more than the rest of the letter combined. It turns your employment from a fact about your past into an obligation in your future. Without it, the letter says you have a job. With it, the letter says a specific desk is waiting for you on a specific Monday and somebody is expecting you at it.

The other things it should say, and the ones that get missed

Your actual role and how long you have held it. What you earn, in figures rather than as a vague reference to your salary. Whether the trip is being paid for by the company or by you — because if the file says one thing and the letter implies another, that contradiction alone can undo it.

And, more often forgotten than anything else, a way to check. A phone number that is answered, an email on the company’s own domain, a name and a job title. A letter nobody can verify is a letter that carries almost no weight, and letters do get verified — more often than applicants imagine.

On which: the person named in the letter needs to know they are named in it. A colleague who answers a call from a consulate and cannot immediately confirm your leave dates has just damaged your application without ever knowing they were involved.

What if you cannot ask?

This comes up constantly and nobody talks about it. You have not told your employer you are applying. Perhaps the leave is not agreed yet. Perhaps the culture at work is that asking invites questions you would rather not answer.

That is a genuine problem and it needs solving honestly, not by writing the letter yourself. A letter that did not come from your employer is a fabricated document, and being caught with one is not a refusal — it is a finding that follows you into every application you ever make, to any country.

There are almost always other ways to show the same thing: payslips over a period, tax records, a contract, pension or social security contributions, a bank account showing salary arriving on the same day every month from the same source. None of them is quite as good as the letter. All of them are infinitely better than a letter that is not real.

Then we read what comes back before it goes anywhere near a consulate, because the letter you get is frequently not the letter you asked for, and it is far easier to request a corrected one in week two than to explain a weak one in an interview.

If you are self-employed, running a business, or in a job where no such letter exists, we build the equivalent out of what genuinely does exist. That is ordinary work and it is far more common than the neat corporate example everyone writes guides about.
